Logging In
To use the booking system you must be a member of the Club, and will need a username and password. If you do not have these please e-mail the Membership Secretary.

Non-members may only view the All Known Bookings Page, to plan a familiarisation trip or find the dates of our special potential members' days. Use the Username SOYC and Password: SOYC (please note capitals).

Booking Pages
Instructions below show you how to use the bookings system to:

View all current bookings
Make your own bookings
Add a guest to the crew list
Change your login password
Update personal details
Find members' contact details
Find trips needing skippers
Send a confidential safety report ("Talk To Chris")

View All Current Bookings
If you want to find out what trips are booked that you could join; in the Queries section, use the All Known Bookings button. This will list all bookings for the boats that are currently on the system. From here you can choose which crew to join.

Make Your Own Bookings
To make a booking for yourself, click the Select button for Crew or Skipper bookings for the appropriate boat.

This leads to a calendar page for the boat you selected. To make a booking, click the Book button for the date when you want to sail. A box will appear at the top of the page with your name in it. Click the confirm button. Your name will appear in the list of crew for that day.

To cancel a booking that you have already made, just click the cancel button. Your name will appear at the top of the page. Click the Confirm button to complete the cancellation.

Add a Guest to the Crew List
At the time of your initial booking you should be able to add the name of one guest to the crew list. To do this click the Book button, when your name appears in the field at the top of the page overwrite it with the name of your guest. Then click the Confirm button.

Change Your Login Password
Having logged in as usual, click the Select button for Change your password. Highlight the asterisks in the Password field and overwrite with your new password; then click the Change button. A message will appear at the top of the grey box telling you your password has been successfully changed.

Update Personal Details
Having logged in as usual, click the Select button for Change your own data. You can change the information in any of the fields shown. You must click the Update button at the bottom of the page to make the changes effective.

The Emergency Contact Details field is for next-of-kin details, should we need to contact anybody in the unlikely event of an emergency. Please complete this section as the Club has to have these details to meet legal requirements. These details are only available to the Web site administrators and will not be seen by other Club members.

Find Members' Contact Details
To find the contact details, special requirements or sailing experience details for fellow crew members, click the Select button for Know your skipper/crew. On the next page, click the button for the letter of the family name of the person you are looking for. A list of people appears, scroll down the page to find the person you are looking for and click the Display button alongside their name.

Find Trips Needing Skippers
It is now possible for crew to book a trip on their available days without a skipper. SOYC qualified skippers can help their fellow members by booking onto these trips to ensure they are completed. In the Queries section, click the Select button for Trips needing skippers. This displays a list of all boat bookings that have crew listed, but no skipper yet designated. Use this information to decide on which days you might want to skipper a trip.

Send a Confidential Safety Report ("Talk To Chris")
The Club has a Safety Officer, whose task is to help implement and maintain the highest possible standards. Any member can send the Safety Officer details of an incident in which they feel the safety of the boat or crew may have been put at risk. The details you provide will help the Safety Officer make recommendations that will maintain high standards.

A report may make comments about a particular incident, citing the prevailing conditions, what apparently went wrong, who and what were involved in allowing the incident to occur, any suggestions as to how similar incidents might be avoided. You have the opportunity to send the report confidentially if you want, should you want a response, with your details attached.

On the main menu page, click the Confidential Safety Report button. Type in the details of the report, including the subject line, and click one of the Send buttons. Your message will be forwarded to the Safety Officer.
